Admissions Coordinator
You will be responsible for setting up and running admissions desks during the craft show. Attendance at a pre-show meeting may be requested.
Volunteers will be recruited at booster meetings and scheduled by the Volunteer Coordinator; make sure you are given a list of who to expect and when.
Each entrance will require one or two adults and a student or two. A table and chairs will need to be set up at around 9:30 am. Earlier setup will get in the way of artists moving supplies into the building. Make sure that each entrance has a sign (preferably overhead) with admission fees, a cash box, a hand stamp and ink pad. These should be available from the band, but check in advance of the show to make sure. The band treasurer will usually handle the cash boxes and see that start-up cash is available.
One very important part of the job will be to poll every customer on where they heard about the show. We spend well over a thousand dollars on advertising each year, and we want to know where it's best spent! Make sure that each table has a clipboard and a supply of tally sheets (which should be provided by the Publicity folks).
Please note that students are not to handle money. Students can stamp hands and otherwise assist shoppers, and they can tally publicity sources.
Four entrances have been used by the show in the past: the cafeteria entrance to the commons, the flagpole entrance (accessible to the handicapped lots), the band room entrance, and the Gym entrance (needed only during peak hours when that lot is utilized). As the show attendance lightens in the afternoon, you may he able to close down the Gym and/or Band room entrances; the others must remain open.
It is IMPERATIVE that shoppers are not admitted before the show opens at 10 am. Artists will need that time to prepare for the show.
Generally we have closed the admissions desks around 3:30 pm so as to have the areas cleared for tear-down. Such late arrivals get in free.
It would be a good idea if the flagpole and band room entrances have a 2-way radio, since they’re a distance away from the show areas. These can be provided by the Parking chairperson.
